A suggestion

I think that there should be a chatbox just for the admins. For like meetings and stuff. This way, there would be more productive admins, and greater forums. Also, to make sure that it won't be able to be seen in the public, we could make it like the notepad. The creator would choose to enable it or disable it. I know that the notepad is like this, but it doesn't involve the 'liveness' of the chatbox. You can see the things almost instantly.

This have been suggested. Thats why you have a Notebook in the admin panel. Also you can add a chatbox in a forum only to be viewed by Admins.

Google chatbox code and you will find something. Its ok we all do post the same topic more than once.

you can also host a free shoutbox/chatbox on some other site and give your staff members the details to enter that room...

you can use your test forum to have private chats

you can set up an IRC room for chatting, with admin access only

the possibilities are endless, hosting a live meeting for staff is not impossible.
